Privacy Notice

Who we are

Juntos Kids check-in is the children's ministry check-in system operated by Juntos Demo Church (Demo). This notice explains what information we collect when you or your child uses the Juntos Kids check-in system, and how we use and protect it.

Information we collect

• ✓Guardian name and phone number — Provided by you at check-in to contact you during service if needed.
• ✓Child's name and age — Used to assign children to the correct age group classroom.
• ✓Allergy information — At check-in we ask whether your child has any allergies, and what they are if so. Your answer is kept with your child's record so staff can keep them safe, and is visible only to authorized Juntos Kids check-in staff. An allergy already noted in the church's records may also be shown to that staff.
• ✓Child photograph — Only collected with your explicit consent. Used solely to verify identity at pickup.
• ✓Check-in and check-out times — Recorded for attendance and safety tracking during the service.
• ✓Who brought the child — The person checking a child in tells us how they are related (parent or guardian, grandparent, aunt or uncle, or other family or friend). It is recorded with that day's check-in so staff know who to expect at pickup. It is not permission to pick up; who may collect a child is decided separately by authorized staff.
• ✓Saving your information for next time — If you choose “Save my information”, we also add your name and phone number, the children’s names with an approximate birth date worked out from the age you gave, and a parent’s name if you give one, to the church’s own membership records, so staff can find your family the next time you visit. Those records belong to the church and are not deleted with check-in records.
• ✓A relative's phone number, if they choose to give it — When someone other than a parent checks children in and chooses to save their information (or adds their phone number), we remember their name, their phone number, how they are related, and which children they brought. See “Remembered relatives” below.

How we use your information

• To check children in and out safely during each service
• To contact you during service if your child needs you
• To verify the correct guardian is picking up the child
• To maintain attendance records for the children's ministry
• We do not use your information for marketing, advertising, or any purpose outside of the children's ministry

Photo consent

Child photographs are only taken with your explicit consent. You may give or withdraw consent at any time by speaking to a Juntos Kids check-in staff member. Photos are stored securely and are accessible only to authorized staff during the service. They are never shared with third parties or displayed publicly.

Remembered relatives

Grandparents, aunts, uncles and family friends often bring children to church. When a relative who is not a parent chooses to save their information at check-in, or adds their phone number, Juntos Kids check-in remembers that this person brings these children. The next time they search by their own phone number at the check-in kiosk, those children appear with them already selected, so check-in is faster.

• We remember only the relative's name as they entered it, their phone number, how they said they are related, which children they brought, and when this was last used.
• Anyone who enters that phone number at the check-in kiosk will see those children's names. Only give a number you use yourself.
• Being remembered is not permission to pick up a child. Authorized staff decide who may collect a child.
• Only the safeguarding lead, a pastor or a church administrator can see this list, and they see only the last four digits of the phone number.
• A relative, or the child's parent or guardian, can ask a staff member to remove it at any time, and it is removed right away.

Data storage and security

Your information is stored on secure cloud infrastructure using industry-standard encryption. Access is restricted to authorized Juntos Kids check-in staff through role-based permissions. Data is not transferred outside of the United States.

How long we keep your data

Check-in records (name, age, guardian contact, allergy notes) are automatically deleted after 3 years. Child photographs are automatically deleted after 6 months if your family has not checked in again during that time. You may request deletion of your family's information sooner, at any time, by speaking with a staff member. A remembered relative is automatically deleted 2 years after it was last used. The relationship recorded with a check-in is kept with that check-in record and deleted with it after 3 years.

Your rights

As a parent or guardian you have the right to:

• Review the information we have on file for your child
• Request correction of inaccurate information
• Request deletion of your child's information at any time
• Withdraw photo consent at any time
• Ask that a relative who brings your child no longer be remembered, or, if you are that relative, that you be forgotten
